Renewal Appointments
Depending on the parameters of the original search, many unclassified appointments are renewable . A “renewal” is defined as a re-appointment to the same position when there is no break in service, or when the break is no more than one calendar year. For example, a renewable instructional appointment for spring term can be renewed any time through the following spring term. Usually, open applicant pool appointments are not renewable without a new pool review or a new search.
The Office of Affirmative Action assigns a renewal code for all unclassified appointments. Renewable appointments will have a Hire Code of APP, “Approved Indefinitely”, found on the AAEO tab in PWAAPPT. At the time of renewal, this information shows up in the “Disposition” field in the box in the top left corner of the printed Request to Offer (RTO).
If you are processing a renewal for an appointment with a Disposition that says “Do not route to AAEO”, the RTO does not need to be routed to Affirmative Action for signatures. Also, it is not necessary to attach a copy of the Affirmative Action Compliance Statement. Forward just the signed RTO to your Dean or VP's office for approval.* Please note: A new CV is required once every four years.
To create a renewal RTO in PWAAPPT, leave the appointment number field blank (or clear the field if it is not blank). Banner will assign a unique RTO number as you advance to the next block. Then, follow the regular PWAAPPT instructions. On the Appointment tab, select “Renewal” in the Action field.
Timing: For 12-month employees, it is good practice to issue employment contracts that match the fiscal year cycle, with expiration on June 30. It is recommended that renewal RTOs be submitted at least one month in advance. See deadlines.
Batch processing: It is possible to renew several contracts at one time using Banner form PWAAPBU.
*Units that report to the VP for Research send their paperwork to Unclassified Personnel Services for processing.
