Sabbatical Leave Instructions
Information regarding sabbatical leave policy can be found on the Academic Affairs website under Faculty/Academic Personnel/Academic Leaves/Sabbaticals. If you want to know whether you are eligible for sabbatical leave per the governing OARs, you may contact Unclassified Personnel Services (UPS) for an evaluation. The forms and procedures for applying for a sabbatical are outlined below.
Sabbatical Forms:
Preliminary Sabbatical Application (Microsoft Word) (Used for planning purposes. Do not submit to UPS)
Sabbatical Application and Contract (Two sided PDF)
Sabbatical Travel Approval Request Form (PDF)
Complete the application form, including academic ranks with dates of service and previous sabbatical leave dates. Send the form along with the supporting documents (see below) to Unclassified Personnel Services (UPS). The Oregon Administrative Rules must be printed on the back of the application.
Sabbatical Packet:
- Sabbatical Application with original signatures
- Statement of the purpose of the sabbatical leave
- Current curriculum vitae
- Descripiton of current teaching, research and other professionally relevant activities.
Routing in sequential order:
- Department head for approval
- Dean/Director for approval
- Unclassified Personnel Services for verification of eligibility, service and salary
- Senior Vice Provost for Academic Affairs for approval
- President (or designee) for final approval
- Unclassified Personnel Services for distribution
Distribution:
- Original to faculty member's academic file (UPS)
- Copy to dean/director
- Copy to department
- Copy to faculty member
Payroll Processing:
Departments are responsible for preparing separate paperwork to adjust pay for an approved sabbatical leave. Complete a Payroll Request Form (PRF) and route through your dean/director's office to Unclassified Personnel Services (UPS). UPS will forward the PRF to payroll. Use account code 10123 (sabbatical leave). To verify that the employee on sabbatical is paid correctly, the department should check HRIS (PWIVERI) for correct FTE and pay.

| Three Terms | 60% pay during leave |
| Law School | Leave Pay |
| One Semester | 100% pay during leave |
| Two Semesters | 50% pay during leave |
| 12-month Employees | Leave Pay |
| Four Months | 85% pay during leave |
| Eight Months | 75% pay during leave |
| Twelve Months | 60% pay during leave |
